Greens Organise is being set up to build a network and to do that we need to collect data. This Privacy Statement covers data protection with regards to the services, activities and online presence of the unincorporated non-profit association Greens Organise (hereafter, ‘us’ and ‘we’).
We collect data
We collect data so that we can inform the people who have consented to giving us their data about the ways in which they can help achieve our aims.
We will process your data and contact you to inform you about how you can support our work. Other purposes for which we may process your data include processing your donations, complying with our legal obligations, answering your enquiries and responding to complaints.

The data we collect
In most circumstances we will only ask you for your name, contact details, postcode and your willingness to volunteer.
We may at times ask for additional information about you and your views and interests and activities you take part in, if this helps to further our work. Additional information we may ask you to provide may include payment details if you are donating.
If you donate to us, your financial details will only ever be stored by third parties such as Paypal and Donorbox and your banking service provider and our banking service provider. We may also need to securely store details of when you made a payment and how much you paid, for example if you donate more than £500, we will maintain records of this in order to comply with our duties under the Political Parties Elections and Referendums Act 2000.
We will store your contact details on the platform Action Network.
If you contact us via email at info@greensorganise.uk the data you share with us will be stored in this email account.
We will also collect information such as your Internet Protocol (IP) address for monitoring and improving the effectiveness of our website services as well as its security.
How we collect data
In most cases, we will have obtained your data directly from you when you chose to electronically sign up to Greens Organise and/or to donate to us and consented to us processing your data. We may sometimes supplement your data with other publicly available information where we have your consent to do so, where it is necessary to do so in order to comply with a contract we have with you, one of our legal obligations or legitimate interests, or where you have given other organisations permission to share your data with us.
We have electronic procedures to help safeguard, prevent unauthorised access to your data, maintain data security, and correctly use your information.
We will hold data as long as is reasonably necessary to fulfil our organisation’s aims. You can withdraw your consent at any time and request that we get of your data securely by emailing us at info@greensorganise.uk.
The lawful bases on which we process data
We process most of the data that we hold on the basis of consent. This includes your name and contact details, payment details and additional information about you and your views, interests and activities you take part in on the basis of consent. Where we process your data on the basis of your consent, that processing of your data will be restricted to those types of processing for which we have received your consent and we shall indicate which categories of data we are going to process on the basis of your consent.
We also rely on legitimate interest to collate, annotate and organise your data in a way that allows us to communicate with you more effectively and to send you information that is relevant to you. At times we may rely on legitimate interest to supplement your data with further information we obtain from other sources, such as online.
We also process data on the basis of legal obligations, such as obligations to report donations under Political Parties Elections and Referendums Act 2000. If you make a donation, we may process your name, details of whether or not you are on the electoral roll, and details of when and how much you donated on the basis of our legal obligations for the purposes of maintaining records of and reporting on donations in line with regulations. If we have not collected your data directly from you with your consent, we may lawfully obtain your data from other sources, such as the electoral register. In such cases, we would have a legitimate interest to canvass you. We have a legitimate interest to campaign in elections and engage in the democratic process. These communications are defined as “direct marketing” in the data protection legislation.
When we share your data with other organisations or individuals who share our values and aims where you have not specifically provided consent, this will be on the basis of our legitimate interests.
If it is necessary for us to process your data in order to comply with any other contracts we may have with you, then when we enter into the contract with you we will inform you of this, as well as informing you of the types of processing that it will be necessary for us to carry out, the categories of data that we will process and the purposes of our doing so.
How we will communicate with you
For any direct “marketing” communications about our campaigning we will only contact you via email or text if we have your permission to do so.
You may also see campaigning online and on some social media sites if you have interaction with us before.
To respond to your queries we will contact you either via the medium you used to contact us or by a medium you have indicated you would like us to respond with. If it is necessary to contact you with for any administrative purposes then we will usually try to email, text or call you, usually in that order, depending on what contact details we have available for you.
Children’s privacy
No information should be submitted or posted to us by children under the age of 13 without prior consent of their parent or guardian.
Enquiries and complaints
If you are concerned about the way in which we have processed your data, you can ask us for an explanation and request that we get rid of your data securely. All enquiries regarding the handling of data by Greens Organise can be made by contacting us at info@greensorganise.uk
If you ask for your data to be erased, we will immediately remove your data from all live systems.
You are at any time entitled to submit a subject access request (SAR), i.e., a request for personal information that we may hold about you. According to the General Data Protection Regulation, a SAR has to be answered within one month of receipt of the written request.
